Startup Inno is seeking a highly organized and proactive Virtual Administrative Coordinator to support our engineering firm operations. This fully remote role requires a detail-oriented professional who can manage administrative tasks, coordinate team activities, and streamline communication between departments. The ideal candidate will ensure that projects, schedules, and documentation are handled efficiently to enable engineers and project managers to focus on core technical work. This position offers the flexibility of working from home while being an integral part of a dynamic, innovative team.
Manage daily administrative operations, including scheduling, correspondence, and document preparation.
Coordinate meetings, virtual conferences, and team calendars across multiple projects.
Maintain accurate records of project documentation, reports, and engineering files.
Assist in project tracking, deadlines, and follow-ups with internal teams and external partners.
Serve as a liaison between engineers, management, clients, and vendors.
Support HR functions such as onboarding, timesheets, and internal communications.
Prepare reports, presentations, and other materials for management review.
Implement and maintain virtual filing systems and organizational tools to optimize workflows.
Handle confidential and sensitive information with discretion and professionalism.
Proven experience in administrative support or coordination, preferably in engineering or technical fields.
Excellent organizational and time-management skills.
Strong written and verbal communication abilities.
Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (e.g., Zoom, Teams, Asana, Trello).
Ability to work independently and manage multiple priorities in a remote setting.
Attention to detail and strong problem-solving capabilities.
Familiarity with basic project management concepts is a plus.
Minimum 2–4 years of experience in administrative roles, preferably supporting engineering, technical, or project-based teams.
Experience in virtual/remote work environments highly preferred.
Exposure to engineering terminology, project documentation, or technical processes is an advantage.
Full-time, remote position.
Standard working hours with flexibility; availability for virtual meetings across different time zones may be required.
Knowledge: Understanding of office procedures, virtual communication tools, and basic project management principles.
Skills: Strong multitasking, digital organization, communication, and scheduling skills.
