Job Summary

Amazon is seeking a highly organized, detail-oriented, and proactive Administrative Secretary to support operations within a Public Health Agency–aligned program. This role is critical in ensuring smooth administrative functioning, effective coordination, and accurate documentation in support of public health initiatives. The ideal candidate will act as a central point of contact, providing comprehensive secretarial and administrative support while maintaining confidentiality, accuracy, and efficiency in a fast-paced, mission-driven environment.

This position requires excellent communication skills, strong organizational abilities, and the capacity to manage multiple priorities while supporting leadership and cross-functional teams.


Key Responsibilities

  • Provide end-to-end administrative and secretarial support to senior officials and departmental teams.

  • Manage calendars, schedule meetings, prepare agendas, and coordinate logistics for internal and external meetings.

  • Handle correspondence, including emails, reports, memos, and official documentation, ensuring timely and accurate communication.

  • Maintain organized filing systems (both digital and physical) in compliance with record-keeping and data protection standards.

  • Assist in preparing reports, presentations, and briefing materials related to public health programs and initiatives.

  • Coordinate with internal departments, external stakeholders, healthcare partners, and government agencies as required.

  • Track action items, follow up on deadlines, and support workflow efficiency.

  • Support procurement, travel arrangements, and expense documentation in line with company policies.

  • Ensure confidentiality and professionalism when handling sensitive public health and organizational information.


Required Skills and Qualifications

  • Bachelors degree in Business Administration, Office Management, Public Administration, or a related field.

  • Proven administrative or secretarial experience in a corporate, government, healthcare, or public sector environment.

  • Excellent written and verbal communication skills in English.

  • Strong proficiency in MS Office tools (Word, Excel, PowerPoint, Outlook) and document management systems.

  • High level of organizational skills with strong attention to detail.

  • Ability to multitask, prioritize work, and meet deadlines with minimal supervision.

  • Professional demeanor with strong interpersonal and coordination skills.


Experience

  • Minimum of 2–5 years of experience in an administrative, executive assistant, or secretarial role.

  • Prior experience supporting senior management or working within public health, healthcare, or government-related projects is highly desirable.

  • Experience in a large, fast-paced organization or multinational company is an advantage.


Working Hours

  • Full-time position

  • Standard business hours, Monday to Friday

  • Flexibility may be required based on project needs, meetings, or public health priorities
