Job Description

We are seeking an experienced Remote Payroll Specialist with a dual expertise in US and UK payroll processing. In this role, you will be responsible for the end-to-end execution of international payroll cycles, ensuring that all employees are paid accurately, on time, and in full compliance with local tax laws (IRS/DOL in the US and HMRC in the UK). This is a high-impact role requiring a deep understanding of statutory deductions, benefits administration, and multi-state/multi-jurisdiction reporting.

Key Responsibilities:

  • End-to-End Processing: Manage semi-monthly and monthly payroll cycles for a distributed workforce across the US and UK.

  • Tax Compliance: Oversee US multi-state tax filings (W-2, 940/941) and UK statutory requirements (PAYE, National Insurance, P60, P45, and Pension Auto-enrolment).

  • Benefits Integration: Reconcile payroll deductions for 401(k) contributions and health insurance (US) alongside Pension schemes and Salary Sacrifice (UK).

  • Audit & Reconciliation: Perform regular audits of payroll data to ensure integrity and prepare reports for Finance/HR leadership.

  • Inquiry Resolution: Serve as the subject matter expert for employee queries regarding tax withholding, pay slips, and leave balances.

  • Year-End Reporting: Lead the year-end closing processes for both regions, ensuring all regulatory deadlines are met.


Requirements:

  • Experience: 4+ years of professional experience in payroll, with at least 2 years handling both US and UK jurisdictions.

  • Regulatory Knowledge: Strong familiarity with US Fair Labor Standards Act (FLSA) and UK Employment Rights Act.

  • Detail Orientation: Exceptional accuracy in calculating pro-rata pay, overtime, and statutory payments (SSP, SMP, SPP).

  • Communication: Ability to explain complex tax and payroll concepts to employees in different time zones.

Technical Requirements:

  • US Systems: Proficiency in platforms like ADP (Workforce Now), Gusto, or Rippling.

  • UK Systems: Experience with Xero Payroll, Sage, or Moorepay.

  • Global Tools: Familiarity with Global EOR/Payroll providers like Deel, Remote, or Papaya Global is a plus.

  • Advanced Excel: Mastery of VLOOKUPs, Pivot Tables, and IF statements for data reconciliation.


Work Details:

  • Shift: Flexible, but must have at least 3-4 hours of overlap with EST (US) or GMT (UK) business hours.

  • Schedule: Full-Time (Monday – Friday).

  • Mode: 100% Remote.
