Job Description

We are seeking a highly organized and commercially minded Broker Support Specialist to assist our Sales and Finance departments. In this role, you will act as the critical link between our brokers, lending institutions, and clients, ensuring that financial applications are processed accurately and efficiently. This position is ideal for someone with a strong administrative background who thrives in a fast-paced environment where precision in financial documentation is paramount.

Key Responsibilities:

  • Application Management: Prepare and submit finance applications to lenders, ensuring all supporting documentation is complete and compliant.

  • Pipeline Tracking: Monitor the status of pending deals and provide regular updates to brokers and clients from submission to settlement.

  • Compliance Review: Conduct thorough know your customer (KYC) and anti-money laundering (AML) checks in accordance with industry regulations.

  • Financial Admin: Assist in the preparation of quotes, invoices, and commission tracking for the sales team.

  • Stakeholder Liaison: Act as the primary point of contact for lenders and credit teams to resolve queries and expedite approvals.

  • Database Maintenance: Ensure the CRM is kept up-to-date with accurate client information and deal notes.


Requirements:

  • Experience: 2+ years of experience in Sales Support, Loan Processing, or Finance Administration.

  • Industry Knowledge: Basic understanding of mortgage, asset finance, or commercial lending processes.

  • Detail Orientation: Exceptional accuracy in data entry and the ability to spot discrepancies in financial statements.

  • Communication: Professional verbal and written communication skills for interacting with high-level stakeholders.

  • Multitasking: Ability to manage a high volume of active files while meeting strict settlement deadlines.

Technical Requirements:

  • Software: Proficiency in CRM platforms (e.g., Salesforce, HubSpot, or Pipedrive) and Loan Origination Systems (LOS).

  • Office Tools: Advanced skills in Microsoft Excel (data sorting, basic formulas) and Adobe Acrobat.

  • Compliance Tools: Experience with document verification and e-signature platforms (e.g., DocuSign).


Work Details:

  • Shift: Standard Business Hours.

  • Schedule: Full-Time (Monday – Friday).

  • Mode: Hybrid or On-site (Depending on location).
